[00:00:00] Kym: Hey everybody. Welcome back to another episode of The Traveling Therapist podcast. We have a very interesting guest today. I am excited to introduce you guys to her. Probably already know her anyway, but she's here to talk about practice growth. She's a practice growth expert. Bust some of the biggest myths that we have in private practice, including the idea that a full caseload automatically equals financial security. So we're gonna talk about that, but before we dive in

[00:00:33] Nicole: I know it's a tricky one.
[00:00:35] Kym: Nicole, thanks for being here. Before we dive into all the amazing things that you do, let's talk about how you went from being a typical therapist to a traveling therapist. What's your story around that?
[00:00:45] Nicole: Yeah, so I'm a licensed social worker. So I got my Master's of social work and I was living in New York City at the time, and I, you know, got a job, a clinical job that would get me my hours. And when I finished my hours, I just did not, I knew I wanted to leave my job. It was like the whole toxic workplace situation that so many of us have experienced.
[00:01:09] And I decided that I wanted to travel and volunteer in South America, so I looked for some programs and I ended up going to Venezuela, which you, I probably wouldn't be able to do now. This is a long
[00:01:23] Kym: Yeah. Yeah. There's a lot going on there.
[00:01:26] Nicole: So I went to Venezuela and I mean, I was not fluent in Spanish. I was shocked how much of like my college Spanish bad accent though, but a vocab vocabulary.
[00:01:37] I mean, I definitely wasn't doing verb conjugations or doing an accent, but I mean, I was impressed with how much vocabulary came back back to me at that time, which was helpful. But basically I ended up there. I flew there. I took like a 20 hour bus ride to like the south southern border of Venezuela and Brazil.
[00:01:58] And I volunteered there for a little over a month. And it was just like kind of a, probably a random volunteer program, honestly, you know, like kids would come to where we were located for some English lessons and horseback riding, and we would also go into the community and do projects. And it was just like a really cool, fun experience.
[00:02:18] And it was like just so different for me to get that cultural experience like really absorbing in a different culture and just seeing, how other people lived. And this was honestly before like the laptop lifestyle was really a thing. That's how old I am. I don't even think iPhones were out yet.
[00:02:37] Like, so, you know, I didn't have a phone that whole time. I would go to little like, computer places and like rent computers for an hour. So, like back then, like at that point in time, it wasn't like I could have worked at the same time or I, I would've really needed more of a strategy and probably be in a different country as well.
[00:02:57] But you know, I just really got that experience of being away and traveling and, and meeting tons of people who do that, right? Like, there's a lot of Europeans there where it's just like very normal for them to go backpacking and experienced that. And, you know, they were like on much longer trips than me and going to multiple countries and stuff like that.
[00:03:17] So when I came back I was like, oh my God, I need to get. Like I needed to get my license in New Jersey. Because I moved back to New Jersey and, you know, dealing with the board, there was like a joke, you couldn't even get, you had to like call up and request them to mail you an application back then, which
[00:03:35] Kym: Oh
[00:03:35] Nicole: but you couldn't get anyone on the phone.
[00:03:37] Kym: Of course.
[00:03:38] Nicole: I, think I was just like dealing with like burnout and everything, like I'd never taken a break. So, you know, coming back I was just like, oh my God, I don't want another nine to five where like, I'm not gonna have vacation time or, you know, I'm not gonna be able to do extended trips like this where you really get to absorb the culture and meet new people.
[00:03:55] And it's, it's not like, you know, that resort vacation, not that there's anything wrong with that, just different type of travel. So when I did come back, you know, I eventually got my license and I had different jobs set up and you know, I kind of was, I think freelancing, which like I just didn't really put it together 'cause I don't, didn't really know what freelancing was back there then.
[00:04:15] And you know, I don't think it was really a thing for social work, but I did end up having a bunch of different, like contracting jobs and a part-time jobs where I, you know, really did kind of make up my own hours and could take on clients as much as I wanted and that kind of thing. So I think it was like really good prep for being a business owner.
[00:04:32] So eventually I did start a private practice and I realized though, that I was like, oh my God, like I can't travel again like this, like it is a nine to five, you know, like you need to have a certain amount of clients. This was before online counseling was really a thing. You need to have a certain amount of clients, you're not gonna get paid.
[00:04:51] So it just was like really stressful to me. So this was like, honestly like 12 ish. 13 years ago maybe longer now. I've lost track of time through the years. But, you know, it was really like the dinosaur. I feel like I'm a dinosaur of online business because it was really like the early days, you know?
[00:05:10] So I did kind of learn about other income streams you know, courses groups, things like that, affiliate income. So I did kind of start putting that into play. And it just allowed me to continue to travel and have more flexibility. You know, I added in coaching and I did have my part-time private practice at first.
[00:05:31] And I will say like I did, like I went to Costa for a month and I did keep clients and we did like audio calls. And that was just like really rare at that time. But I was private pay, so it was easier. So I kind of just like from the start, just started telling my clients, you know, like there may be times we're doing our, you know, we're doing calls, we're not, you know, doing in-person sessions.
[00:05:52] So it did allow me to go for like a month or so in the winter to different like, you know, different locations. And then just my business got busier in terms of the online services. So I eventually just transitioned out of the in-person private practice. You know, just like having other income streams so that I could shift what I was focused on during certain times of the year.
[00:06:14] So like, maybe not having as many one-to-one clients, like, you know, having a group where I'm serving more people, so like I'm able to make more money for my time and, not have to be like, sitting at the computer all day on calls like definitely helped.
[00:06:30] Kym: That's amazing. Yeah. I mean that, that's the dream, in my opinion. That's what I'm doing. You know, it's like it's so much more freedom. I mean, I'm still tied to the business, you know, I still got meetings and all that stuff, but it's so flexible and I just don't have to depend on. Like, if I don't have a butt in a seat, I'm not gonna make money.
[00:06:46] I'm not gonna be able to live and support myself like that kind of thing. It's so smart to me for any therapist, I think, to have at least one other sort of income stream coming in, you
[00:06:54] Nicole: Yeah, I think it's important. I think the hard thing is I think a lot of times people see that other people have multiple income streams or hear this, you know, and a lot of people just unfortunately throw out like really, like not great advice where it's just like, launch something, create something.
[00:07:11] And I do unfortunately see a lot of people like lose a lot of money and time just kind of throwing something together. And it's not that it's like not even a good product or whatever, it's just that like the pre-work hasn't been done where you don't know if you have an audience, you don't know if this is something they would buy.
[00:07:27] So, you know, a lot of people kind of just sell that, like, get this out there, you know, get something out there, just create it field of dreams, people will come and it's, it's not that easy.
[00:07:39] Kym: It is not, it's
[00:07:40] Nicole: retired if it was.
[00:07:41] Kym: We all would, I think. So along those lines, when did you start to notice, in your own life, it sounds like you were kind of having these realizations along that timeline. When did you start to notice like that full caseload wasn't always translating into financial security.
[00:07:56] Nicole: Yeah, I mean, I think, yeah, that is the other thing, right? Like even with a full caseload where we are a person and can't travel you know, I think I like started doing the math like early on in my practice and I was like, oh my God. Like if it snows, and again, this was like the days where people had to come in person and there still are a lot of people who wanna come in person
[00:08:16] Kym: Yeah, yeah.
[00:08:17] Nicole: picked up again. So for me, I started just trying to put it in there like. I had a therapist that, like, I did phone calls with once in a while, like if I couldn't get in to her office. 'cause like I had moved and it was further.
[00:08:30] So like I knew that was a possibility. I kind of like, thank God from that experience put it in into my paperwork, like if there's weather issues or if there's this, like we'll do a call. And again, it wasn't, there wasn't like Zoom back then, so it really was usually a call and not like video. And it was appropriate for my clients. So, you know, but it definitely like helped I think to just like have that experience and, and to start putting that in.
[00:08:59] But like, it was just doing the math and I was like, oh my gosh. You know, if there's bad weather if I'm sick, if someone's sick. And also just like that pressure, I was, felt like it was so pressured of like having to constantly like be aware of how any clients I had and making sure some came in and it's like I'm an anxious person and I just didn't wanna like be obsessing about that all the time.
[00:09:19] Kym: Yeah, and that was literally gonna be my next question. So many, therapists, I know we see these in the Facebook groups, right? They're like, I've got a full caseload. But they're just so anxious, right? Because it's all of this attrition. People don't show up, You've gotta constantly be on that hamster wheel of marketing and getting a new person in the door, like all of that. So
[00:09:37] Nicole: just like life is very expensive. I mean, I live in a high cost of living area, but even if you're in a lower cost of living area, like it's expensive, you know, or if you're single or you know, like it just really is expensive there. We don't have a lot of flexibility to like not be consistent with our income.
[00:09:57] Kym: Absolutely. So you kind of touched on this a little bit already, but what do you see in your line of work? 'cause. Uh, We've kind of touched on it, but Nicole basically helps other therapists and tons of other types of providers build other income streams.
[00:10:10] That's your specialty now, but what do you see them just like spending wasted time on essentially with this stuff?
[00:10:17] You kind of talked about it a little bit, but maybe we could dive into that little bit like give a warning, like, don't do this, do this kind of thing.
[00:10:24] Nicole: I think the thing is that they definitely get stuck, creating content. Right? And that's 'cause it's like like again, I'm kind of lazy about it. I don't love creating content, but like, so many people do and they're so good at it, it's easy to create content, right? But like, if you don't have anybody to sell it to you, and we don't, like, a lot of times it's like, oh, just like create a page for it, put it on your website. But it's like we, we have to actually sell things. Like, first of all, like I have a lot more traffic probably, or like even in, I have a big Facebook group of a audience. Like even though it's like 30,000 people, it's not like thousands of people are buying something every time.
[00:10:58] Or hundreds every time I post a link, I have to like post it multiple, like I have to sell it. And I don't mean just like post the link, like here's this product. I think a lot of people create something and they think they can just, they don't have a real marketing plan and their, they think their marketing is like, which I get it 'cause you see other people doing this, but we don't see the behind the scenes as like go to other groups and on the promo post day post in the promo feed.
[00:11:24] And it's like, you know, a lot of times that's not even necessarily your audience for something. A lot of times I see people create something 'cause it's like a need, but like it's separate from the their niche. So then it's like you have to start from ground zero and build a whole new audience.
[00:11:40] So I think like really. Not taking times to do market research. And I know people are like, I don't know how to do market research. And that's accurate. Like, you don't It is more than just creating something that you see a need for. You know, there's just a lot more behind it in terms of the messaging and making sure it connects with people and whether, not even whether it's a course, but like, just even like a group, you know?
[00:12:01] Like knowing that you have people that want it first, you know? So a lot of times I recommend pre-selling something before you create it. People get like stressed out about that, But it's like if you don't, one, if you don't have enough sales to create it, then you know, you give people their money back.
[00:12:17] You know what I mean? Like, it's good to have like the forced timeline too. You know, doing things live before you turn them into Evergreen just because you realize you need that experience of walking people through it. Also like if you don't have enough one-to-one clients or or income, it's really hard to launch other things because you know, we need to figure out what's up with your marketing Currently.
[00:12:43] We want you to have financial security before you go to something where it's lower price than you have to sell a lot a lot more.
[00:12:50] Kym: Absolutely. So where like with all that, there were so many like golden nuggets in there. I feel like I could just pick each one and like, dig deep in there. So just with all that being said, like let's say somebody's listening to this or they're in your Facebook group and they're like, okay, I'm so sick of this one-to-one. I don't feel financially secure. Like they're really relating to what we were just saying about that. What would be the first step to somebody that's like, I know I need another income stream.
[00:13:14] I don't wanna make all the mistakes. I wanna start from the right place in the beginning, like what would you recommend? Just kind of based on everything you were just talking about, like what, where would they start?
[00:13:22] Nicole: I would think about your audience, like one, hopefully you have a niche already, like a target market where you know your clients are dealing with the same struggles and, and you're really like, can be specific around it. And I think really like just asking your clients, would they be interested in a group? Would they be interested in like a workshop?
[00:13:41] Thinking about like people who are reaching out to you that are your ideal client, but then don't sign on. You know, like what would've helped them? Like do they need just like a smaller bite of something at first? And I mean, hopefully you are growing an audience in some way already.
[00:13:56] So like an email list or something like that. I know a lot of people try social media but don't necessarily like is if your social media is like your engaged niche that's different. But like putting the questions out there of like, you know, would you be interested in X, Y, z? You know, most of my clients, like their first groups and workshops and stuff are their current clients.
[00:14:16] And I think a lot of people get nervous to invite their current clients to stuff. But like clients want that other way of working together. Like sometimes they want also the group support or the education. And, I've seen a lot of therapists hold back from that because they're like, well, they're already working with me.
[00:14:32] They're already paying me. I don't wanna ask them for something else, but a lot of times they will benefit from something else. So starting there, like with your clients. And it's not about like for like nobody's forcing people to buy anything. I think people get so worried about that or hear, other criticisms from people like, you can't do that because whatever. But it's totally okay to ask your clients what else would be helpful for them.
[00:14:54] Kym: Yes. I love that. Yeah. I think you're so right. They get in that mindset
[00:14:58] Nicole: Mm-hmm.
[00:14:58] Kym: I'm not gonna, I'm not gonna sell them a, a products or another, you know, option. Like they're coming to therapy already. Why
[00:15:04] Nicole: Mm-hmm.
[00:15:05] Kym: But. But I think you're right, especially in today's times, right? I think a lot of people want, and I mean I'm seeing this trend maybe are too, this compacted sort of like treatment option, like the intensives
[00:15:16] you know, the group therapy setting where it's like I can get a lot of work done fast and not have to like spend the next year and individual therapy
[00:15:23] Nicole: Mm-hmm.
[00:15:24] Kym: Of thing I think people are really craving that right now
[00:15:26] Nicole: Yeah, I mean, I think intensives too are a great, other income stream. I think the thing is that people try to hear all this stuff about passive income and like passive income is not real. Like you are putting a lot of work and or money into the income stream initially. Right. I mean regardless, like you have to sell it, like, it just doesn't get automatic sales on its own.
[00:15:47] Like you have to create things that will bring people to you. You know, you have to nurture an audience. So there is a lot of other pieces to it. But I think that, you know, when. When you kind of like get out of the fear of like passive income, like, or get out of like, not the fear of it, 'cause everybody wants it, but like get out of like really realize like that's not like gonna be the next step.
[00:16:11] Like that there's other income stream that are gonna be much more profitable. In between, like it just gives you the opportunity to experiment and add in new things. Without it being like a big deal without needing to like invest in a course platform or a graphic designer or, you know, like all this stuff that you don't need yet.
[00:16:30] I think that's the other thing is like, keep it simple. For your first one, you're gonna have to make updates, you know, like, so kind of try to use the tools you have versus investing in big things.
[00:16:41] Kym: Yes. and something I've heard you talk about too, and in the form that you filled out before we came in here, it is just like shifting their focus from busy to building. Like what's your philosophy around that? What's the difference in busy and building for somebody that's maybe trying to get into this? Yeah.
[00:16:57] Nicole: I think a lot of times we're just like, you know, I know for me, I think that it's very easy to just have that mindset that like more work means more money. So like, you know, we just work on anything or do any sort of work and there's not like intention or strategy behind it of like. You know, is this, how is this leading to what I'm doing?
[00:17:16] And there's not even an assessment and it's just that like we were not trained to do that, right? We're thinking about serving our clients, we're thinking about providing services to them. And this is like outside of that. And this may be even things we help our clients with it and like we don't think about how to apply it, apply it ourselves.
[00:17:33] But you know, I love that my clients who come in are just like, very open to you. Like, yes. a new income stream isn't necessarily gonna be immediate. Like we need to clean up. And fix what I currently have. I like to really look at like, are you, at maximum profitability for what you're currently doing?
[00:17:48] You know, like where are your money leaks? Are you going over session times 10 minutes? Like that adds up to a few hours a week of course you're overworked and burnt out. You're working for free, you know, there's things that are really little that when you fix them, they make big differences in terms of time and energy.
[00:18:06] So to me, it's definitely very important that you know that you're working in a way that is intentional. You're not. We look at really like, what are you spending time on and is it leading to money? Is it leading to visibility or is it just like. you're posting on Instagram, you're posting in the promo threads, but like you've actually never gotten anything from there.
[00:18:26] So a lot of times it's going backwards a little bit and putting in questions into your intakes and consults and so you know where clients are actually finding you and not just saying like, Hey, where'd you find me? And they're. Online, like, you know, really getting specific information so that you can learn what's working and what's not working and really open up space to, go into new income streams.
[00:18:48] So it's not like this like rush of like, I need this income stream to work. I'm just gonna create it and put it out there,
[00:18:53] Kym: So building smartly, like taking a look at like, and I do this with my clients too, like, Let's do a time study, like seriously, where, where are all the holes that The leaky holes, really, because you're exactly right. I mean, you have to make time and space to bring something new into the world, you know? And if you're already like max to capacity, how are you gonna do that?
[00:19:11] Unless you're doing exactly what you're suggesting. Such good advice. Yeah. so somebody works with you. Could you walk us through like what that looks like and, how you would help somebody that really is like, okay, I wanna do this, I need another income stream. Like what would be the first step to come and work with you with that? Yeah.
[00:19:26] Nicole: Well, we definitely look at income goals, you know, because we wanna make sure that you are intentional about like, knowing your numbers and your income. 'cause again, I think it's another thing where we're just like, I wanna make this much money, but sometimes we need to make more money than that because like taxes, like we just haven't taken everything.
[00:19:42] Expenses like. Things are going up this year. So we really wanna like, know your numbers of what you need to make and how you can make that right, because again, you know, it's very, very, very unlikely unfortunately, that, you know, you're gonna put out a new income stream and it's gonna become like 50% of your, your income, you know, like one to one work.
[00:20:03] You want that like kind of steady pretty steady. so that you have income, right? Because like most of us don't have a lot of extra income or savings to put into something else. If you do, that's a little bit different. But if you're like really relying on your income, like I make sure that we are securing it so that way like when you start to devote time to something else,
[00:20:23] your current income is not dropping and putting you in a stressful place that it's not just about like, oh, to take off clients and red devote it to this. 'cause it's not always possible to decrease your income while you build something else. So we really do make sure to go in and like look at the numbers of what they want to make.
[00:20:40] And then honestly like what income streams are they interested in? And like, what's a good fit for their business right now? Because again, like if you are gonna create something really low cost, like a hundred dollars course, like, and that's not even super low cost, but like you have to sell a lot.
[00:20:57] You have to have a lot of reach to sell enough, right? To make decent money versus a one-to-one client that could bring in thousands of dollars over, over a few months. you know, we wanna make sure that we know your numbers so you're not putting yourself in a stressed out financial place so that truly, like we clean up a lot of leaks so that they're already more profitable.
[00:21:16] We look at increasing their average session rate, like, and that doesn't just mean like raising your prices, but like, you know. If you're taking insurances, are you taking the higher paying insurances? Are you, you know, just kind of spread out, taking whatever. You have a lot of clients who have gotten on like low, very low paying EAPs 'cause of just like stress and like not knowing how to market.
[00:21:36] So it seems easier to like add in a different income stream, but we wanna make sure you know how to market for one-to-one first. So that way you can build, we also look at just like audience, like growing an email list or something like that. Like where is your audience? Like where can you reach people?
[00:21:52] And I do have clients who start things and they have no email list, you know? And so we're also just looking at like, what are your resources? Do you have strong referral sources? again, when you're more niche, like I have a client now who actually we just wrapped up, but we worked together for a while and she specialized in OCD and she works with misophonia, and that's like really specific.
[00:22:13] And more and more people are just like familiar with it now. Like even my nephews told me he has it from a TikTok, which like, I hope, not that I want him to have it, but he's constantly calling me out for chewing loudly. So I really hope it's him and not me. He's like, I think I have that misophonia.
[00:22:29] I'm like, so people are just like more familiar with things, you know? So she like also connected with someone else who works with it, which is rare. So they teamed up to do a group together and actually like a bunch of her one-to-one clients. You know, went into it like, because like the community's great for that kind of thing.
[00:22:49] You feel so alone with it. So some transition from one-to-one, but her marketing is so good. Now that doesn't actually matter because she already has people to fill in those one-to-one spots. So it's also like, I think people worry like, oh, well if they go into the group or they do a workshop, like, then I'm gonna lose that one-to-one income.
[00:23:05] But we wanna make sure you're in a good place, that you can also keep that steady at the same time. So we're definitely looking at, certain areas of your business, like visibility relationships, with referral partners. We're looking at like, just like your time leaks, your money leaks, but it's looks a little different for everyone because it's based on like your financial needs.
[00:23:28] It may be based a little different depending where you're located. If you're in a rural area or a city it may look like your plan is gonna look different depending on your, on your niche. Like, yes, you may be doing the same actions as someone else, but they're gonna be done in a different way because of who you are looking to reach.
[00:23:46] So we make sure everything's personalized. It's not like very general like, go find three referral partners. It's like, well, like who is going to refer to you? how can you turn these into long-term relationships? Where in your business is there like a gap? Where are you too reliant on one thing? If all your clients are coming from Google ads, that's really risky, you know?
[00:24:07] Kym: And expensive, right?
[00:24:08] Nicole: Yeah. And expensive. And expensive, exactly.
[00:24:12] Kym: Wow, that's so smart. Yes. I love that. Like, just being strategic about it on an individualized basis, so it's not just, you're not giving like general advice. You're like really breaking it down. Specifically to what's going on with this person and then applying just all the knowledge you've gathered over the
[00:24:27] Nicole: some of it's like personality stuff, you know, like we have our own strengths, some people are, better writers, some people are better speakers. Sometimes it's like we have to like also get over some like, imposter syndrome and just be willing to try something, Sometimes we have to try things again that we say we did that didn't work. And it's just like, why didn't it work? what happened? You know?
[00:24:48] Kym: Yeah, Where you might think it's one thing, but it's some hole in your funnel. That's just one statement. That's
[00:24:54] Nicole: yeah, messaging's off or like, you just didn't do it enough times, you know?
[00:25:00] Kym: Yeah. Oh, I love that. I love that it's so individualized. It's really good. So are there any tools that you're using right now in your day to day, like in your business, in your income streams? Are there tools out there that you're kind of recommending, like, use this for this, it's just saving time and energy and, and all of that. I'm just curious if you've got stuff going on like
[00:25:18] Nicole: Yeah, you know, I definitely go through like nicheing with them because even if you know your niche, I think it's good to refresh it. So just kind of going through some niching messaging strategy where, you know, again, they're giving kind of specific steps on how to do market research and how to get some of this language and, you know, getting it reviewed so that they know where to look.
[00:25:39] 'cause it's just like we don't know how to do it, you know? Definitely just like other tools too, like how to map out your income and how to price things based on your income goals to see like how many clients you would need, how many sales you would need. So I call that like income chunking.
[00:25:55] Definitely tools around like just time management, and systems and processes. So I would say it's not always necessarily giving a tool, but like, you know, looking at your website and seeing like what is confusing for people, maybe you're losing potential consults, you know, just by setting up easier consult processes and booking, you know, booking consult processes.
[00:26:14] Like my clients have had their income increase and like also saved a lot of time. So we definitely look at like, again, like where are you getting caught up in your time? Like what tools are useful for that?
[00:26:25] Kym: So really like the time and systems analysis and putting better ones in place to help you overall. Improve everything. That's so smart. I love it. Oh, I could talk about this stuff all day long.
[00:26:35] Nicole: I know, and some of it's like so basic, but it's like, you know, it's just we don't know how to do it.
[00:26:41] Kym: It's just so, it is so important. 'cause like you said, I mean, I see it too every day. It's like people think they're gonna drop a link on a promo thread and it's gonna sell a mm-hmm but they've spent like. Months trying to build this thing the content, build the content, but there's no strategy or system mm-hmm know, no understanding of how to, how to do anything in the back end with that stuff.
[00:27:02] So I think it's just such an important message for people listening today. Like before you go down the rabbit hole, like reach out to somebody like Nicole that can help you understand how to do it the right way. 'cause you've mm-hmm the tools, all of that already in place. 'cause you've been there, done mm-hmm
[00:27:18] that's what I love. Just to save time and energy. 'cause I've done it myself. I've, like, this weekend I did it. I was like, oh my God, I just spent eight hours trying to build like a spreadsheet with ai. Like, and it totally won't do it. but I didn't need to do that, you know? So I do
